To provide PA support to the Chief Executive and admin support to other Directors and Heads of Department. You will be responsible for the core administration functions and to provide a wide range of administrative support to enable the business to broaden and support its activities. There will be a high amount of confidentiality required in this role.

Main Duties & Responsibilities

  • Act as the key contact between the CEO, Directors, Head of Departments and key stakeholders
  • Personal Assistant to the CEO and provide admin support for the Senior Leadership Team including diary management, production of reports, publications and presentations, project support, arranging and taking minutes at meetings and act as key point of contact for SLT
  • Planning and allocating work within the Admin Department, monitoring achievement of deadlines, and supporting admin/finance staff as appropriate.
  • Ensure that all incoming and outgoing communication is dealt with professionally
  • Support the facilities management and maintenance issues at Head Office.
  • To be the designated Data Protection Officer, ensuring that all paperwork is stored in accordance with legislation.
  • Undertake Data Protection inspections at all projects in line with company practice.
  • Provide Data Protection guidance to managers and staff where appropriate.
  • To ensure the maintenance of Health & Safety regulations as requested by Health & Safety Officer.
  • To deal with first aid requirements, making sure that adequate provisions are available at all premises.

Knowledge and Experience

  • Experience supporting Director or SLTs
  • Previous PA or Office Manager experience is essential
  • Knowledge of GDPR or data protection would be an advantage
  • Project management or co-ordination experience also desirable
  • Excellent communication skills
  • Strong IT skills, good news of MS Office particularly Outlook, Word and Excel
  • Ability to represent the organisation and communicate to a wide range of people and form good working relationships
  • Be well organised and prioritise workload
  • Be able to support other teams and individuals and direct workflows
