As a Lettings Administrator you will work as part of a team to provide efficient and timely administrative support service to the Lettings Team and Property Management Team.
The team aim to minimise voids and to provide excellent customer service.
Duties and responsibilities
Assist the Lettings team to administer the letting and property management.
Assist and provide support and excellent customer service to customers.
Carry out the associated administrative tasks such as mail merges, mail outs, scanning and filing of documents and raising system generated letters when required.
Assist the team to administer customer surveys including Customer Engagement Survey.
To administer the lettings of properties by providing viewing sheets, assisting with referencing, chasing initial monies before sign up and preparing sign up packs.
Updating and scanning documents to archive file after sign up and during tenancy.
Assisting with deposit paperwork, end of tenancy correspondence and updating utility companies with tenant data.
Administering marketing of lettings properties by updating the window cards, inviting to view and booking in viewings and liaising with the Customer Service Centre.
Amending appointments and organising the diary, arranging access for contractors and sending parking permits to tenants.
Knowledge, skills and experience required
Previous experience in a busy office providing administration support is desirable with customer facing environment whilst working as a member of the team and with the flexibility to cope with changes to work plans at short notice.
Experience of delivering excellent customer service.
Able to demonstrate excellent organisational skills and ability to prioritise own workload.
Excellent telephone manner and able to demonstrate excellent communication skills both written and oral with the ability to communicate with a wide range of individuals.
Evidence of ability to use Microsoft Office suite of applications with an intermediate level of Excel and ability to learn new systems quickly.
Working Hours
Monday to Friday – Office Hours, 37 Hours per week
