The job holder is responsible for managing the contract with a local employer/provider who have recently selected our client as their subcontracting organisation.

Duties

  • Manage the employer subcontracting relationship on behalf of the employer and maintains the effective contract management information systems, undertaking periodic reviews to ensure that it meets the requirements of the employer and ESFA funding rules.
  • On behalf of our employer subcontractor conduct eligibility checks on the potential apprentice documentation to ensure that apprentices are eligible to receive government funding and documentation complies with the ESFA funding rules.
  • On behalf of our employer subcontractor conduct internal audits of GFT activity ensuring all contractual paperwork is completed accurately and will meet all audit and quality requirements
    • Undertake a programme of internal audits across the GFT provision
    • Address and rectify where possible issues identified during audit
    • Provide coaching and support to the employer to ensure that all non-compliance is addressed
    • Produce a summary report detailing findings within 5 working days of the audit
  • On behalf of our employer subcontractor, ensure that all Government Funding Bodies data is input to the company MI System (PICSW) and uploaded to the Data Service.

    • Data is input accurately and in accordance with identified timescales
    • All data is reconciled to ensure an error free claim
  • Produce monthly financial and statistical information based upon the reconciliation to the Contracts and Claims Manager.
  • Conduct apprentice progress reviews in line with the employers planned schedule and evidence progress made towards the Knowledge, Skills and Behaviours of the Apprenticeship Standard.
  • Oversees all GFT administration on behalf of the employer assuring compliance with ESFA funding rules.
  • Support Teaching and Learning observation visits on the delivery of the training and report back to the Contracts and Claims Manager on any potential concerns.
  • Continuous support to ensure that the employer meets Ofsted, ESFA and End Point Assessment requirements. Implementing, advising and supporting new processes as required.
  • Evaluate the success of the programme and work with the employer to explore ways in which improvements can be made if necessary.
  • Advise the Contracts and Claims Manager of any breaches of procedures that any jeopardise ESFA funding rules and Ofsted requirements.
  • Provide advice and support to the employer on the interpretation of Government Funding Bodies data input requirements with support from the Contracts and Claims Manager.
  • To develop professional relationships with the employer and contribute to the success of their apprenticeship programme.


Education and Experience

  • Confidence to deal with all aspects of customer service
  • Knowledge of the apprenticeship funding rules
  • Strong organisation skills
  • Proficiency in Microsoft Excel, Word, Outlook and Internet Explorer
  • Strong administration skills with the ability to prioritise demanding workloads.
  • Ability to effectively manage multiple priorities and stay calm under pressure.
  • The ability to work on own initiative.
  • Sound communication and interpersonal skills
  • A proactive, professional individual.
  • Ability to plan and organise
