Part Time Thursday and Friday Only

8.30am – 4.45pm

This role will require you to work a busy reception desk dealing with incoming calls and visitors. This role will be part-time working just Thursday and Friday each week, although there will be a requirement to cover sickness and holidays at times Monday to Wednesday and also be available for training during these days in the first few weeks.

Duties

  • Answer telephone, screen and direct calls, ensure all calls are answered promptly, minimising caller waiting time. Screen calls where appropriate and direct accordingly.
  • Provide appropriate information to callers, whilst being mindful not to disclose private contact information and telephone numbers
  • Competent use of tannoy system
  • Take and relay messages - take messages when necessary and ensure timely communication to the intended recipient.
  • Ensure knowledge of staff movements in and out of organisation - monitor staff movement charts to ensure knowledge of staff whereabouts.
  • Updating the switchboard directory
  • Greet visitors - greet visitors in a polite and professional manner, advising the Apollo member of staff of their arrival.
  • Book visitors in/out on PC - ensure all visitors are booked in and out of the building, providing a security pass for all visitors.
  • Making tea & coffee for visitors, should it be necessary, provide refreshments for the visitor.
  • Set up of wireless connection for visitors; - facilitate the visitor’s ability to use the wireless network if required.
  • Print ID passes for new starters (office only) and upload on to the intranet
  • Receive, sort, distribute and frank mail, including the distribution of payslips (monthly)
  • Keeping the reception area tidy
  • Ordering and managing sufficient stock of consumables for the franking machine, coffee machines, milk, biscuits for visitors, badge system & stationery
  • Provide handovers to Security on subjects such as early morning visitors, pool car collection and drop-offs.

Skills and Knowledge

  • Proven experience of receptionist duties
  • Qualified to GCSE or equivalent (including English and Maths)
  • Competent in Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Excellent communication skills
  • Excellent attention to detail
  • Highly motivated
  • Highly organised and able to multitask efficiently
  • Ability to work to deadlines
