Customer Service / Order Processing Administrator

To oversee all aspects of our clients Retail Customer experience, from placing their order though to aftercare. To ensure the smooth and efficient processing and dispatch of their orders.

Key Responsibilities:

Core daily duties include:

  • Processing online and telephone orders from customers
  • Providing support by telephone and email for customer enquiries
  • Processing payments
  • Preparing/printing online orders for picking and packing
  • Booking UK & European parcel and preparing labels
  • Dealing with any lost parcels and claims
  • Managing returns & refunds


Other duties include:

  • Monthly stock taking & ensuring stock levels online are correct
  • Maintaining records of stock consumption and analysing for trends
  • Analysing costs of processing orders and identifying savings
  • Producing sales reports and using spreadsheet to plan ordering from suppliers
  • Ordering stock and packaging materials from suppliers
  • Amending or updating product information on the company`s online shop
  • Welcoming visitors to the company`s offices and customers collecting goods
  • Some light packing of small goods and first-class post


Person Specification

  • Minimum GCSE A-C for English language and Mathematics (or proven ability of work at this level or higher)
  • Further Education / Higher Education / Training - relating to customer services (desirable)
  • Formal ITC qualification (RSA II or equivalent)
  • A personal knowledge and experience of Vegetarian and Vegan culture is highly desirable.
  • Understanding of ecommerce, CRM or CMS systems would be an advantage
  • Good interpersonal skills (confident meeting people, building & maintaining working relationships)
  • Ability to communicate clearly and effectively by telephone, in writing and in person.
  • Ability to type accurately
  • Competence with office software applications (Word Processing, Spreadsheets, Databases, etc.)
  • Experience processing card payments and booking with logistics partners is highly desirable
  • Self-Motivated : able to work independently and to identify jobs that need doing with direction
  • Problem Solver : able to identify key issues or obstacles in problems and resolve them effectively
  • Highly organised - able to prioritise, meeting deadlines, keep records, forward plan, etc.)
  • Analytical : able to interpret complex information and numerical data
  • Flexibility : able to work outside of office hours when required (with notice & time off in lieu)
  • Positive Attitude : constructive approach towards challenges and change
  • Adaptability - willingness to learn new skills or change duties to support ever changing business needs
